VoIP and Phone Systems

Help callers reach the right person even when your team is busy

Your customers shouldn’t have to know, or care, whether the person answering their call is at your office, working from home, or at another location. They just need help reaching the right person.

And when your team can’t answer, callers still need a useful next step.

Bowes IT provides on-site and cloud phone systems, along with an optional AI voice receptionist. Together, they help your business connect employees, handle incoming calls, collect enquiries, and never miss a sales opportunity when your staff are unavailable.

Business as usual, wherever you work

VoIP (Voice over Internet Protocol) lets employees at different locations take calls, transfer calls between one another, and interact as though they are in the same office. There is no distinction from a caller’s point of view.

Compatible desk phones, headsets, and mobile or desktop apps give your team options for staying connected. An AI voice receptionist can provide additional coverage when employees are helping customers, away from their desks, or finished for the day.

Whether you have one office, several locations, or a combination of office and remote employees, your business appears cohesive and well organized.

Start with how your business handles calls

Some businesses need straightforward calling and voicemail. Others need reception coverage, call queues, remote extensions, or more advanced features.

When determining the right system for your business, we start with a few simple questions:

  • Who should answer incoming calls?
  • What happens when that person is busy?
  • How do callers reach different employees or departments?
  • What should happen after hours?
  • Would answering routine questions or collecting details help your team?

The answers determine the system and its setup. That might mean ringing several phones, offering a short menu, introducing an AI voice receptionist, or combining those options.

More flexibility. Less time managing calls.

We’ve used VoIP internally for years and helped clients put it to work in their businesses. We focus on features that make most sense and make work easier.

Depending on your system and configuration, that can include:

  • Connected employees: Take and transfer calls across offices, home workspaces, and mobile devices.
  • Flexible call routing: Direct calls according to your business hours, departments, and staff availability.
  • AI answering: Greet callers, answer common business questions, and take messages.
  • Useful follow-up information: Collect caller details and provide your team with call summaries.
  • Appointment booking: Let callers arrange appointments through supported scheduling tools.
  • Everyday phone features: Voicemail, call display, ring groups, queues, reporting, and recording.
  • Business integrations: Connect supported Microsoft 365, CRM, and other business applications.

We’ll explain what’s included, what’s optional, and what would be useful for your business.

Give callers somewhere to turn when you can’t answer

An AI voice receptionist can answer during busy periods, after hours, or whenever calls go unanswered. It can also provide initial answering throughout the day, take sales calls, and connect to supported CRMs..

Using information about your business, it can respond to routine questions, collect the reason for a call, and help callers take the next step. Depending on the configuration, that could mean transferring to an employee, booking an appointment, adding a lead to your CRM, or leaving a message for follow-up.

You choose the best fit. We help configure the information, instructions, and call handling around your business.

Let’s talk about your phone system

Frequently Asked Questions

Can we keep our existing business phone number?

n most cases, yes. We’ll check whether your number can be transferred and arrange the move. We'll want to keep your existing service active until the transfer is complete for a seamless transition.

Can employees use the phone system from home or another location?

Yes. With a suitable internet connection and compatible phones or apps, employees can take calls, transfer callers, and reach one another as though they were in the same office.

What’s the difference between an on-site and a cloud phone system?

With an on-site system, the phone system itself is located at your business and uses your Internet connection. Equipment is hosted elsewhere with a cloud system and connects your phones over the internet.

Both can support remote employees and multiple locations. We’ll help you make the best choice based on your business requirements, internet connection, budget, and support needs.

What can an AI voice receptionist do for our business?

It can greet callers, answer common questions using information about your business, take messages, connect to a CRM, and collect details for follow-up. Depending on the service and configuration, it can also transfer calls, book appointments through supported scheduling tools, and send call summaries to your team.

Can the AI receptionist answer when we’re busy or closed?

Yes. It can answer when your line is busy, when a call goes unanswered, or outside business hours. It can also provide initial answering whenever you'd like. We’ll help you decide where it would be most useful.

Can callers still speak to someone on our team?

Yes. The AI receptionist can transfer callers to designated employees or departments. We’ll also establish what happens when nobody is available, such as taking a message for follow-up.

How does the AI receptionist know about our business?

We configure it with information such as your business hours, services, frequently asked questions, and call handling instructions. We review and test its responses with you before putting it into use. That information can be updated as your business changes.

Do we need a new phone system to use an AI voice receptionist?

Not necessarily. It may work with your existing service using call forwarding. We’ll check your setup before recommending any changes. You can also choose a new phone system without adding AI reception.

What happens if our internet connection or power goes down?

Desk phones and on-site equipment may stop working, depending on the outage and your setup. Backup power, another internet connection, alternate call routing, and an AI receptionist hosted elsewhere may provide options for handling incoming calls.

We’ll discuss what needs to remain available and plan accordingly.

Will changing our phone setup disrupt the business?

We plan the changeover to keep disruption to a minimum. That includes preparing the system, coordinating any number transfer, testing call routing and AI answering where included, and helping staff get comfortable with the setup. We can often leave the old and new phones on the desk temporarily to make the switchover simpler. We’ll explain any expected interruption beforehand.

Who supports the phone system and AI receptionist?
